Project Assistant (Finance-Admin)

NTFP-EP Asia is looking for a PROJECT ASSISTANT (Finance-Admin) for the project Capacity Building on Enhancing Resilience to Forest Fire, and Local Livelihood and Market Linkages of the NTFP-EP Asia regional office in the Philippines (for Philippine-based applicants only).

NTFP-EP Asia is an association of 25 members with over 100 partner non-governmental organizations and community-based organizations working with forest-based communities to strengthen their capacity in the sustainable management of natural resources in Cambodia, India, Indonesia, Malaysia, the Philippines, and Vietnam.

QUALIFICATIONS

  1. A bachelor’s degree in accounting, finance, business administration, or a similar field.
  2. Minimum 2-year experience working as a financial admin assistant with knowledge on accounting or posting of accounts, admin logistics support, etc.
  3. Working knowledge of accounting softwares, with QuickBooks, an advantage.
  4. Proficiency with Microsoft Office 365, an advantage.
  5. Meticulous attention to detail and ability to perform tasks with accuracy and efficiency.
  6. Excellent financial and business analytical skill.
  7. A team player with good communication skills.
  8. Able to multi-task and manage time appropriately to meet deadlines.
  9. High level of integrity and ability to handle confidential information.

PROJECT

“Capacity Building on Enhancing Resilience to Forest Fire, and Local Livelihood and Market Linkages” implemented under the Medium, Small and Micro Enterprises (MSME) component of NTFP-EP Asia with field level activities in Cambodia, Laos, Myanmar, Vietnam (CLMV) and all of ASEAN for select regional trainings and publication work in partnership with international organizations.

JOB SUMMARY

The employee is a member of the Sustainable Climate Adaptive Community Livelihood (SCAL) Thematic Programme of NTFP-EP and as such contributes through his/her project responsibility to the achievement of the target outcomes of the CLMV Project and the SCAL thematic programme. The employee’s roles are the following:

  1. Ensure that the Project Activities in the CLMV project sites are effectively implemented according to the approved plan and budget.
  2. Shall be responsible in the timely delivery of financial and administrative support to the NTFP-EP- AFOCO CLMV project partners and staff. 
  3. Shall ensure that the established project financial system and controls are strictly observed and timely financial reports are prepared and submitted.

This is full-time work with a maximum six-month probation. Starting salary while on probation is from Php 25,000 to 30,000 gross per month with basic benefits coverage commensurate to qualifications.

NTFP-EP operates on a compressed work week from Mondays to Thursdays. Domestic and/or international travel may be required from time to time.

RESPONSIBILITIES

Finance Tasks

  • Takes charge of all finances and administrative concerns of the project.
  • Sets up the financial and administrative systems in the project areas (Cambodia, Laos, Myanmar and Vietnam) to conform with the requirements of the project donors.
  • Maintains a digital record of all administrative and financial transactions, documents, and other important information.
  • Compiles project financial data and prepares consolidated monthly financial reports.
  • Coordinates daily financial tasks with the financial management team of NTFP-EP Asia and other NTFP partners in the CLMV project sites to optimize project implementation.

Administration Tasks

  • Maintains an organized, efficient and updated inventory of necessary project office supplies/equipment
  • Assists in the preparation of regularly scheduled reports.
  • Develops and maintains an efficient filing system for project documents and contacts list of project staff, consultants and partners.
  • Organizes and schedules appointments and meetings.
  • Produces and distributes correspondence memos, letters, faxes, and forms to concerned NTFP project partners.
  • Books project travel arrangements
  • Performs other necessary tasks that may be assigned by his/her supervisor from time to time.
