Office Assistant

NTFP-EP Asia is an association of 30 members with over 100 partner non-governmental organizations and community-based organizations working with forest-based communities to strengthen their capacity in the sustainable management of natural resources in Cambodia, India, Indonesia, Malaysia, the Philippines, and Vietnam.  

The Office Assistant role is open to Philippine-based applicants only. The position is full-time and onsite. The duty station is at the NTFP-EP Asia Quezon City office, which operates on a compressed workweek from Monday to Thursday. The role will be supervised by the Administrative Officer and is offered under a four-month service contract, with potential for extension and comes with a monthly rate of ₱18,590.

  1. Senior High School Graduate 
  1. At least (1) year relevant work experience 
  1. Strong team player with excellent interpersonal skills; able to work effectively in a multi-cultural environment. 
  1. Proficient in computer applications; familiarity with Microsoft Office 365 is an advantage. 
  1. Self-motivated, detail-oriented, and capable of working independently with a high degree of accuracy and efficiency 
  1. Willing to work onsite in Quezon City 

Each Employee’s duties and responsibilities contribute towards the attainment of the Vision, Mission, and Goals of NTFP-EP. This includes providing proactive support and working in cooperation with partners, including those from the marginalized sectors – indigenous peoples and local communities including women and youth – in the different country networks and in various capacities.

The Office Assistant shall be responsible for the following: 

The Office Assistant is a full-time, onsite role focused on cleaning and maintenance of the office, garden, and surroundings, including waste management and securing the premises. The role also involves errands such as notarizing documents, mailing, deliveries to government agencies, purchasing supplies, and occasional bank tasks. Other support duties may be assigned as needed. 

Office Maintenance Tasks – (in coordination with the Administrative Officer) cleaning and maintaining the office environment, both inside and outside the building. It is essential for ensuring a safe, orderly, and presentable workspace for all staff and visitors.

  1. Daily cleaning duties across the office interior, garden, and surrounding areas. This includes sweeping, mopping, dusting, and maintaining cleanliness in common areas such as restrooms, pantries, and entryways. 
  1. Proper waste management, following NTFP-EP’s environmental protocols and Quezon City’s guidelines for segregation and disposal. 
  1. Securing the premises by locking doors and gates after office hours, and turning off lights and electrical appliances to prevent hazards. 

Coordinating with hired individual(s) to do general cleaning as needed. 

Messengerial Responsibilities – in coordination with the operations team and coordinators. Specific tasks may include: 

  1. Notarization of official contracts and documents such as MOAs, PSCs and corporate documents, as required; 
  1. Mailing official letters/pouches, publications, and recording of incoming/outgoing mails; 
  1. Delivery and pick up of documents and other relevant items, including payment and filing of documents to and from government agencies (BIR, SSS, PhilHealth).  
  1. Purchasing of supplies (including office and pantry supplies) after regular inventory of available supplies and liquidation of corresponding cash advances within 3 to 5 days; 
  1. In cases when Finance staff are not available; the Office Assistant may deliver and pick-up vouchers and checks for signing by signatories only after approval by the Supervisor. 

Bank errands as needed with instruction from Supervisor, Finance Coordinator, and Cashier; 

Other Relevant Tasks – Performs other tasks related to his/her job designation as may be assigned by his/her supervisor from time to time, including any requested support to NTFP-EP Country Offices.
