Admin. Project Assistant (PA)

NTFP-EP Asia is hiring a Project Assistant for Administration (Admin. PA) for the AFOCO-NTFP-EP-Asia Project “Capacity Building on Enhancing Resilience to Forest Fire and Strengthening Local Livelihood and Market Linkages” in Cambodia, Lao PDR, Myanmar and Vietnam (AFOCO CLMV Project). The Admin. PA will work closely with the AFoCO CLMV Project Coordinator for the effective implementation, monitoring, recording, and reporting of the project activities. Refer to specific duties and job details at ANNEX A.

This is a full-time work with a 6-month probationary period. The salary range is from PhP30,000 to PhP35,000 gross per month commensurate to qualifications, with basic government-mandated benefits.  This position is open to Philippine-based applicants only. (Note: Project Duration is until December 2025)

Duty Station is in NTFP-EP Asia Quezon City office with occasional travels in the region. NTFP-EP operates on a compressed work week from Mondays to Thursdays.

QUALIFICATIONS:

  1. Preferably with a university degree in Business Administration/Management or any related course minimum of 2 years working experience as an administrative assistant providing administrative and logistical support to projects including booking flights and hotel reservations and other travel requirements;
  2. Preferably with work experience with a regional/ international development organization, non-governmental organization or civil society organization; 
  3. Good database and data analysis skills; 
  4. Meticulous attention to detail and ability to perform tasks with accuracy and efficiency;
  5. Good organizational and time-management skills;
  6. Strong interpersonal skills, able to work in a multicultural environment and a team player; 
  7. Good computer skills, particularly Microsoft Office365 programs and online platforms; 
  8. Can communicate (write and speak) in English;
  9. A self-starter and deadline-driven; 
  10. Willing to travel and flexible at work; 
  11. Knowledge of and interest on issues related to natural resource management, indigenous peoples’ and women’s rights is an advantage; 
  12. Can exercise high level of integrity, accountability, and confidentiality.

ANNEX A – JOB DESCRIPTION

JOB TITLE:                             Project Assistant for Administration (Admin PA)
REPORTS DIRECTLY TO:      Project Coordinator – AFOCO CLMV Project
COORDINATES WITH:          NTFP-EP Asia Finance Coordinator, AFOCO CLMV Project Technical Officer, NTFP-EP Asia Executive Director, NTFP-EP Asia Operations Director, All NTFP-EP Asia staff, Consultants and Country Partners 

DUTIES AND RESPONSIBILITIES:  Each Employee’s duties and responsibilities contribute towards the attainment of the Vision, Mission, and Goals of NTFP-EP. This includes providing proactive support and working in cooperation with partners, including those from the marginalized sectors – indigenous peoples and local communities including women and youth – in the different country networks and in various capacities.

The Admin PA will work closely with the AFOCO CLMV Project Coordinator for the effective implementation, finance monitoring, recording and reporting of the project activities funded by AFOCO and ASEAN Republic of Korea Cooperation Fund (AKCF).

(S)He will be responsible for the following: 

  1. Supervision of the administrative support and control concerns of the project such as the following:
    • Arrange travel logistical needs of the project staff i.e. flight and hotel bookings;
    • Assist in organizing and scheduling project meetings and other major project events.
    • Assist in the preparation of regularly scheduled reports.Maintain contact lists of project staff, consultants and partners.
    • Re-produce and distribute project-related correspondence memos, letters, faxes, and forms to concerned AFOCO CLMV and NTFP-EP project partners.
  2. Setting up of the administrative systems in the project areas (Cambodia, Laos, Myanmar and Vietnam) to conform with the project requirements of AFOCO/AKCF.
  3. Maintain a digital record of all administrative transactions, documents, and other important information including filing of important project documents and reports.
  4. Coordinate daily administrative tasks with the management team of NTFP-EP Asia-AFOCO CLMV Project and other NTFP partners in the CLMV project sites to optimize project implementation.
  5. Ensure timely delivery of necessary office supplies/equipment, and update inventory of all project supplies and equipment.
  6. Perform other tasks and backstopping other regional work and partnerships related to his/her job designation and corresponds to his/her capacity, as may be assigned by the AFOCO CLMV Project Coordinator.
