PROGRAM ASSOCIATE for ICCA Consortium Southeast Asia

NTFP-EP Asia is an association of 30 members with over 100 partner non-governmental organizations and community-based organizations working with forest-based communities to strengthen their capacity in the sustainable management of natural resources in Cambodia, India, Indonesia, Malaysia, the Philippines, and Vietnam.  NTFP-EP Asia also serves as the regional coordination hub for the ICCA Consortium in Southeast Asia (www.iccaconsortium.org). 

The Program Associate’s duties and responsibilities shall contribute towards the attainment of the ICCA Consortium Southeast Asia strategy and priorities and operational plan and advocacy roadmap.  This includes providing proactive support to the ICCA SEA Coordination team, Council and its Members. The PA will work closely with the ICCA SEA Coordination team particularly with the Regional Coordinator, Advocacy Coordinator, Council and members for the effective implementation of program administration responsibilities and accountable use of resources related to, recording and reporting of the project activities funded for the ICCA Consortium SEA.  

In 2024-2025, there are 5 funded projects: WWF Sweden Voices for Diversity, ICCA Consortium through Rockefeller Philanthropy Advisors, Anonymous, Foundation for Philippine Environment, and the Global Greengrants Fund (Environmental Defenders Collaborative) for small grants and quick grants to be managed in cooperation with the Pastor Rice Small Grants Fund (RPSGF).

The position is available to Philippine-based applicants only. Renumeration is PhP30,000 to PhP32,000 gross per month commensurate to qualifications.

Duty station is at the NTFP-EP Asia Quezon City office, which operates on a compressed work week from Mondays to Thursdays.

Qualifications

  1. At least 1 year work experience in program or project implementation and monitoring, focusing on administrative support;  
  1. Preferably with 1-year work experience with a regional/ international development organization, non-governmental organization or civil society organization;  
  1. A university degree in development studies, development communication, environmental management, or related fields; 
  1. Good written & verbal communication and coordinating skills;  
  1. Strong interpersonal skills, able to work in a multicultural environment, teachable and a team player;  
  1. Good computer skills, particularly Microsoft Office365 programs and online platforms;  
  1. A self-starter and deadline-driven;  
  1. Willing to travel and flexible at work;  
  1. Knowledge of and interest on issues related to natural resource management, indigenous peoples’ and women’s rights is an advantage.  
  1. Can exercise high level of integrity, accountability, and confidentiality. 

Duties and Responsibilities

The Program Associate will be responsible for the following:  

Administrative support and control concerns of the project such as the following: 

  1. Arrange travel logistical needs of the project staff i.e. flight and hotel bookings;  
  1. Maintain contact lists of ICCA Consortium members, consultants and partners.  
  1. Re-produce and distribute Consortium-related correspondence memos, letters, and forms to concerned ICCA Consortium and NTFP-EP project partners. 
  1. Assist in preparing memorandum of agreements and professional service contracts with members,  partners and/or consultants, including send to NTFP-EP Asia administration for DocuSigning 

Project Implementation support such as the following: 

  1. Coordinate with project partners/members to ensure proper submission of project requirements 
  1. Assist in the monitoring of projects of the ICCA Consortium partners including their reports to donors and corresponding payments (RFPs) 
  1. Assist in organizing and scheduling project meetings and other major project events. 
  1. Assist in the preparation of regularly scheduled reports.  
  1. Assist the coordinators in budget and workplan preparation, tracking ICCA Consortium-related funding  

Maintaining a digital record of all administrative transactions, documents, and other important information including filing of important project documents and reports. 

Perform other tasks and backstop other regional work and partnerships related to his/her job designation and correspond to her capacity, as may be assigned by the Regional Coordinator and other members of the coordination team. 

Duration: 1-year service contract, fulltime, with possibility for extension
